The Clerical Assistant will form part of the Spatial Policy team and will support the Spatial Policy officers in ensuring the effective delivery of the statutory processes. The post holder will help to ensure that the service effectively engages with its customers, including the general public, communities, applicants, stakeholders and the development industry.

The post holder will assist the work of officers by ensuring that all necessary basic administrative procedures required to support the statutory disciplines are carried out in an accurate and timely manner. This will include the undertaking of a range of administrative tasks designed to ensure the implementation of an effective and responsive support service.

Duties include:

  • To support officers by the carrying out of general document management, including filing, photocopying and faxing of documents.
  • To engage with customers at reception on the telephone and by email to obtain information requirements and to provide basic information or refer to appropriate colleagues.
  • To maintain documentation and information records as required by statutory regulations relating to Spatial Policy functions in an orderly manner.
  • To undertake scanning duties to facilitate electronic storage of documentation.
  • To undertake data inputting task onto IT systems.

Pay Rate: £8.74 per hour PAYE

This is a temporary, but possibly long term role.

“Essential Requirements” – Please check to ensure that your CV addresses the following items:

  • Your address (including post code) and a telephone number so that we can reach you during working hours.
  • Your recent UK working experience going back at least 5 years, or full employment history if you have been working for fewer years than this.
  • Your availability to work either immediately, or at short notice.
  • Minimum of 12 months recent office administration experience in a similar role, or context and ideally within a public sector organisation.
  • Qualifications:
    • Minimum 4 GCSEs or equivalent at grades A to C, including English Language.
  • Knowledge & Experience:
    • Experience of working in a support capacity in a regulatory service.
    • Experience of dealing with members of the public in person and over the telephone.
  • Skills:
    • Interpersonal skills, including the ability to communicate effectively, both orally and in writing, with a wide range of people from different backgrounds.
    • Familiarity with and ability to use relevant ICT infrastructure.
    • Ability to demonstrate a ‘can do’ and pragmatic approach to solving general service delivery issues.
    • Enthusiasm and self-motivation.
    • Ability to concentrate for long periods of time whilst undertaking single task.
    • Willingness/ability to work on own initiative and/or as part of a team, maintaining high levels of integrity and discretion.

Other preferable/desirable details to include on your CV, if applicable:

  • Any local authority/public sector experience.
  • Any relevant qualifications held or being studied for.
  • Post GCSE qualification.
  • Experience of working with and developing bespoke IT systems and software packages designed to support service delivery.
  • Understanding of customer orientated approach to service delivery.
  • Perservering and problem-solving approach.
  • Advisory, negotiating and persuasive skills.

Anticipated Length of Assignment: All of our roles are technically temporary, though opening assignments can be and often are, extended by clients on a longer term basis and can sometimes become permanent. This opening assignment is for 1-2 months.

Hours per week: 35-37 Monday – Friday, normal working hours
