Office Administrator

This is a temporary position (4 month fixed term contract) which may become permanent. There may be some flexibility around the number of hours worked (30-40 per week).

Are you highly organised with exceptional attention to detail, very personable and IT proficient?

Our organisation works alongside government agencies, plus many other professional bodies to focus on the reduction of roadside injuries and fatalities through excellence in training and safety procedures. We are looking for an enthusiastic administrator who is happy working in a small company alongside four office-based staff.

The Role

Daily training course administration

  • Keeping the central database of course attendance up to date.
  • Checking all documentation and procedures for compliance prior to issuing any form of formal certification or Driver CPC hours.
  • Uploading of Driver CPC hours onto the government website for customers who have attended training.
  • Scanning, indexing and storing of all paperwork received for training courses.
  • Monitoring and recording course survey scores.

Occassional training administration

  • Liaising with clients and trainers to ensure courses run smoothly from initial quotation stage to course delivery.
  • Maintaining budget spreadsheets for specific projects as necessary.
  • Ordering, printing and sending of all course/workshop materials to the course instructor prior to course start.

General administration and customer service

  • Give guidance and answer customer and trainer enquiries via phone and email by becoming familiar with all training courses offered.
  • Creating paper-based and electronic filing systems using SharePoint.
  • Supporting colleagues with ad hoc administration tasks and occasional cover as required.
  • Attending conferences, meetings and training as required/recommended.
  • Occasional booking of hotel accommodation for executives/trainers.
  • Possible organisation of large event/s.

Communication

  • Regularly updating colleagues on progress and developments within your role.
  • Supporting continuous improvement of processes and highlighting issues to line manager or senior leadership team.

Financial and IT

  • Using Sage to invoice all training courses and general sales.
  • Using various software to accomplish workload, including Microsoft Office 365, SharePoint, Outlook, Word, PowerPoint, Excel, PDFs.

The Ideal Candidate

A team player who demonstrates flexibility and a willingness to support others.

Personable and capable of building relationships with a wide range of stakeholders. Excellent telephone manner and able to demonstrate strong written and verbal communication and customer service skills.

Methodical, organised and detail conscious with the ability to prioritise tasks effectively. Previous administration experience an advantage but full training will be given. IT proficient including Microsoft Outlook, Word, PowerPoint, Excel.
